Summary:  
Haven House Services seeks a Development & Volunteer Specialist to be a key member of our Resource Development team, reporting to the Development Director.  The Development & Volunteer Specialist’s primary areas of responsibility will be leading all aspects of the agency’s volunteer program, managing in-kind donations, coordinating donor recognition letters and mailings, and building relationships with individuals and corporate, faith-based, and civic groups looking to engage in Haven House’s mission. 

  • Manage all volunteer activities for the organization, including, but not limited to:
    • Recruit volunteers to meet agency’s needs and respond to all inquiries for individual and group volunteer opportunities.
    • Assign and schedule volunteers. Supervise individual and group efforts or coordinate supervision with other staff members.
    • Ensure all volunteer paperwork, background and reference checks, and volunteer waivers are completed. Conduct and/or arrange for volunteer orientation and training.
    • Develop and update volunteer policies and procedures and volunteer handbook.
    • Organize volunteer recognition programs and events.
    • Work with Donor Communication Specialist to keep volunteer page on website up-to-date and highlight volunteer activities and needs in e-newsletter and social media.
    • Evaluate all aspects of the volunteer program to ensure effectiveness and to recommend/implement changes as appropriate.
    • Track all volunteer participation and volunteer hours and provide monthly reports.
    • Engage volunteers in fundraising efforts and activities, giving them opportunities to support program needs with in-kind and financial contributions.
  • Coordinate in-kind donation drives and donation of specific items to fulfill agency program needs and the needs of the youth and families we serve.
    • Manage the agency’s Essentials Pantry and off-site storage area, scheduling volunteers to organize and restock the pantry, as well as keeping staff informed of what items are available for distribution.
    • Work with Donor Communications Specialist to keep agency wish lists updated, in-kind needs are publicized on social media channels, and donors are recognized in e-newsletter and/or on social media.
    • Coordinate the agency’s holiday programs to assist youth and their families.
  • Engage the community in the mission of Haven House Services.
    • Plan, publicize, and present Haven House 101 sessions.
    • Speak, present, and attend public presentations, events, information fairs, and other engagement opportunities in the community.
    • Identify and build relationships with individuals, corporations, groups, and faith-based organizations to educate them about Haven House Services and engage them through donation drives and/or volunteer opportunities.
  • Support Donor Relation Activities
    • Serve as the database administrator for the Resource Development Department, ensuring accurate contribution and volunteer records.
    • Regularly record all gifts, monetary and in-kind, received by the agency and prepare timely and appropriate gift acknowledgements.
    • Pull reports and mailing lists from database and help coordinate mailings.
  • Provide logistical support for meetings and events (e.g. prepare agendas and record minutes).
  • Completes all required trainings.
  • Participates in agency outreach and fundraising events.
  • Demonstrates a willingness to assist in other agency programs as needed.
  • Acts as a custodian and demonstrates responsible and ethical use of agency property and facilities.
  • Displays sensitivity to youth and families’ cultural and socioeconomic characteristics.
  • Strives to embody the agency’s Code of Ethics while working towards the agency’s mission.

Minimum qualifications:

  • Bachelor’s Degree and 1-3 years of related experience.

Knowledge, skills and abilities: 

  • Excellent organizational and time management skills. Ability to make judgments, assume responsibility, and work independently with minimal supervision.
  • Effective and courteous interpersonal, oral, and written communication skills; oral and written English fluency, including accuracy in spelling, grammar, and punctuation.
  • Excellent computer software skills including Microsoft Word, Excel, and PowerPoint. Experience with donor database software is preferred. Experience with Adobe Creative Suite applications and/or WordPress a plus.
  • Experience working with or in a nonprofit and with managing and supporting volunteer groups
  • Initiative, creativity, reliability, flexibility, sense of humor, thoroughness, and accuracy.
  • Integrity in relationships with donors, prospective donors, volunteers, and colleagues.

Other requirements: 

  • Valid North Carolina Driver’s License and satisfactory driving record
  • Proof of current/valid car insurance
  • Acceptable background report
  • Negative drug screen results
